Community center room booking: a simple setup that stops double-bookings

Phone calls and a paper calendar work until two groups show up for the same gym. Here is a simple way to set up room booking for a community center so that stops happening.

Why phone calls and paper calendars double-book

A paper calendar lives in one place. A phone call reaches whoever picks up. When the front desk, a board member and a program coordinator each say yes from a different notebook, two groups arrive for one room.

The fix is one shared calendar that will not take a second booking for a time that is already taken, even if two people try at the same moment.

Put every space on one list

Add the gym, the multipurpose hall and each meeting room as its own room. Give each a name, how many people it seats, where it is and a short description. Add a photo, so a group leader knows the room before they walk in.

Set opening hours once, then adjust by room

Set the building’s hours for the whole workspace. Any room can then keep its own: the gym may open at 6 a.m. while the meeting rooms close at 5. Nothing gets booked when the building is closed.

Book weekly programs as a series

Yoga on Tuesdays should not be typed in one week at a time. Book the class once and repeat it daily, weekly on the days you choose, every other week or monthly. End it after a number of bookings or on a date. If some dates are already taken, the rest are booked and you see which ones were skipped.

Set fair-use rules

Without limits, one group can hold the hall every night. Decide the longest booking, how far ahead people can book, how much time one person can book in any 7 days, and how many bookings one person can hold at once. You can also check room capacity, so a booking for 80 people cannot land in a 40-seat room.

New bookings are checked against these rules. Bookings already made are not changed.

Let group leaders see what is free and book it

Invite group leaders by email. They sign in with a code sent to their inbox, then choose a day, a time and how many people, see which rooms are free, and book. Members can see that a room is taken but not who booked it. Admins can see who booked, and cancel a booking.

Release no-shows (optional)

If groups book a room and never show, turn on check-in. The person who booked taps Check in. If nobody does within a grace period you choose, from 5 to 60 minutes, the room opens up again. It is off until you turn it on.

See how your rooms are used

The Reports page shows bookings, hours booked, utilization and no-show rate for each room, with a CSV download for your board. It counts per room, not per group, and it does not track headcount.

How to set it up in SummaBooking

  1. Choose Get started and sign in with your email. You get a one-time code, so there is no password. Give your workspace a name. It starts with one sample room you can rename or edit.
  2. Open Rooms and choose Add a room. Enter a name, seats, location and a photo, and choose custom hours if the room keeps its own. Repeat for each space.
  3. Open Settings. Under Operating hours choose Set hours. Under Booking limits set the longest booking, how far ahead people can book and the per-person caps. Switch on Require check-in if you want it.
  4. Open Members, paste your group leaders’ email addresses under Invite people and send.
  5. To book a weekly program, pick a room and a time, then under Repeat choose Weekly and when it ends.

Common questions

Can groups book rooms themselves?

Yes. Invite each group leader by email. They sign in with an emailed code, see which rooms are free for the day, time and number of people they need, and book.

Can we book a weekly class once?

Yes. Choose Repeat when you book, pick daily, weekly on chosen days, every other week or monthly, and say when it ends. The whole run is booked as one series. If some dates are taken, the rest are booked and you see which were skipped.

Can we stop one group from taking the hall every night?

Yes. Set the longest booking, how far ahead people can book, how much time one person can book in any 7 days, and how many bookings one person can hold at once.

How much does it cost?

$49 a month per workspace, with 5 active rooms included. Each additional active room is $8 a month. There are no per-user fees and no setup fee. You start with a 30-day trial with no card needed, and nothing is charged unless you subscribe. Prices are in USD, before applicable taxes.

Do we need IT?

No. SummaBooking runs in any web browser on a computer or a phone, so there is nothing to install. You add the rooms and invite people yourself, and everyone signs in with a code sent to their email, so there are no passwords to manage.
